Create a TDR data map before month-end

Trace required reporting fields from order records to the reporting file and reconciliation.

Transactional reporting becomes harder when the source data is scattered across sales, delivery, and accounting tools. Build a data map before the reporting deadline. GSA's current guidance says MAS-TDR is mandatory for all SINs under Refresh 31 and explains transition effective dates, monthly reporting, and current fields. Confirm the effective terms and latest guidance for your contract. GSA TDR requirements.

Map fields to a real owner

Create a table with reporting field, source system, source column, transformation, owner, and validation. A field named “order number” may refer to different identifiers in different systems. Document exactly which identifier the reporting specification requires and which internal field supplies it. Do not rely on employees remembering the distinction at month-end.

Keep product and service differences visible. Review the current official data definitions and examples before assuming every field applies to every transaction. If the source system does not capture an applicable field, fix the intake or fulfillment process rather than filling the reporting file with plausible-looking guesses.

A fictional reconciliation

Beech Technical has three reported line items: two service lines of $4,000 and $6,000 and a product line of $2,500. The team's fictional reporting total is $12,500. Accounting shows $13,100 in the selected population. The $600 difference is not automatically a reporting error; the team traces it to an unrelated sale outside that population and documents the exclusion.

A second check finds that one service line uses a customer nickname where the required identifier belongs. The contract administrator corrects the source mapping and reruns validation. This fixes the recurring process rather than editing the output file once and repeating the same problem next month. The example does not establish which actual sales belong in your report.

Use the current calendar

GSA's help page explains monthly reporting deadlines, consistent reporting methods, and IFF remittance. It also describes temporary 2026 grace and trial periods that do not waive basic obligations. Read the current page and user guide for the applicable details; do not turn temporary guidance into a permanent internal rule. GSA reporting help and user guide.

  • Confirm the reporting period and contract effective terms.
  • Reconcile the selected sales population to accounting.
  • Validate identifiers, units, quantities, and monetary fields.
  • Check required product and service fields separately.
  • Document exclusions and corrections with evidence.
  • Retain submission confirmation and the final source file.

Have a second person review exceptions rather than every routine row if volume is high. An exception report can flag blank identifiers, negative quantities, duplicate line keys, or an unexpected change in totals. Use checks that match your records and actual reporting specification.

Close the month with a saved file, reconciliation, reviewer record, and authoritative submission confirmation. A prepared upload is not a submitted report. Good data mapping reduces repeated corrections and makes the numbers easier to explain during a contract review.
